The Knowledge Base (KB) is the brain of your AI Voice Concierge and Chatbot. It holds all the facts about your golf course—such as your dress code, green fees, amenities, and local rules.
With the launch of Dashboard v2, you can now update and expand this information yourself to ensure your AI always provides golfers with accurate, up-to-date answers.
Understanding the "Active" Knowledge Base
To ensure your automated booking channels never go offline, the system has one strict safeguard:
⚠️ The Safeguard Rule: Your dashboard must always have exactly one Active KB published. Because the AI relies on this live file to answer customer calls and chats in real-time, the active KB cannot be directly edited or deleted.
To update your knowledge base, you use a safe "draft and publish" workflow.
Step-by-Step: How to Update Your Knowledge Base
To make changes to your course information without disrupting your active AI, follow these steps:
Navigate to Knowledge Base: Go to Settings > AI & Automation and select Knowledge.
Duplicate the Active KB: Click the Duplicate button next to your current active knowledge base. This creates an exact copy as an editable draft.
Edit Your Draft: Open your newly created draft. You can add or modify information using four flexible methods:
Add Documents: Upload PDFs or Word files (e.g., your tournament calendar or membership packages).
Add URLs: Input links to your website pages (e.g., your restaurant menu page) so the AI can read the text directly.
Add FAQs: Type in direct Question-and-Answer pairs for common inquiries (e.g., "Q: Do you allow five-somes? A: No, groups are limited to a maximum of 4 players.").
Write Content Directly: Use the built-in text editor to type or copy-paste updates manually right on the page.
Publish Your Changes: Once you have thoroughly reviewed and updated the information, click Publish.
What happens when I click Publish?
The system instantly swaps the old file for your new one. Your draft becomes the new Active KB, and both the Voice Concierge and Chatbot are instantly updated with the new information.
This workflow allows you to safely draft seasonal changes (like changing from summer to winter rates) ahead of time and push them live with a single click when you are ready.
